34 | P a g e D C B S t u d e n t H a n d b o o k Organizations and Activities Eligibility Students must be classified as full time freshmen or sophomores, be in good standing, and be registered for at least 12 credit hours during the current semester in order to represent the College. In special cases, group or organization advisors can make exceptions to this general regulation. Participation in this sense includes all events with the exception of those that are required as part of a course. Student Senate The Student Senate organization represents the student population of the College. The organization acts as a liaison between the students and the College administration and faculty. The Senate promotes student participation in college activities and helps coordinate these activities. Student Organizations The College is aware that part of a student’s education occurs outside of the classroom and that participation in extracurricular activities can supplement instruction. For this reason, the school, under the Student Senate, has recognized numerous organizations and clubs appealing to the many interests on campus. All organizations must be recognized through certain procedures by the Student Senate. The following are some of the honorary, service, and departmental groups that have been recognized: Phi Theta Kappa, LumberActs, LeaderJacks, Horticulture Club and Wildlife Club. Recognition of An Organization Only officially recognized student organizations may use the name of the College. The Student Senate constitution stipulates that: Section I: In order to qualify for Senate representation and funding, an organization must meet the following qualifications: 1. Submit an up-to-date typed constitution in duplicate. This constitution must follow the Robert’s Rules of Order. One copy of this constitution will be filed with the Student Senate. 2. Must meet three (3) times per semester. 3. Must have a program that is relative to a reasonable majority of the student body. 4. Must have a minimum of five (5) members. 5. Must have an administrative or faculty advisor. Student organizations must be in compliance with equal opportunity guidelines to receive recognition or funding through the Student Senate. Social Activities Listed below are the guidelines used in organizing social/ club activities: 1. Reserve the facilities with Student Services. 2. Secure insurance, if required. 3. Take the initiative to insure compliance with campus regulations, gym usage, etc. 4. Seek assistance of the proper authorities when necessary, sheriff's dept, fire dept, custodians, etc. 5. Communicate policies to all organization/club membership. 6. The sponsoring organization is responsible for cleanup and damages. The administrative or faculty advisor of an organization is responsible for chaperoning any social event. Expenditure of Funds All organizations wishing to expend funds from their accounts must do so in the prescribed manner. Officers must complete a request for payment and obtain their advisor’s signature. These documents will then be submitted to the Business Office. No student or organization may order items or charge them unless they have, in their possession, a purchase order or signed request for payment form authorizing the purchase. Students do not have the authorization to sign contracts for services or purchases. Any student not following the above stated procedure may be responsible for payment of the purchases. All organizations should appoint a competent treasurer to keep accurate financial records. Accounts kept in the Business Office will be audited routinely. Public Solicitation by Organizations Organizations must have approval from their advisors or athletic coach before soliciting off campus. Athletics The College participates in eight sports at the intercollegiate level: men’s basketball, women’s basketball, men’s hockey, women’s hockey, women’s volleyball, men’s baseball, co-ed trap, and women's fast-pitch softball. Students participating in a varsity sport are not required to enroll in a physical education activity class during the semester in which the major portion of the sport is in progress. Instead, they will register for the varsity sport of their choice, and grades will be given according to the general contributions made in the varsity sport in which the student participated.
